Booking and payment
- Spaces are booked and paid in full online through this website, by card or ACH bank transfer through Square. No cash, checks or deposits.
- Vendor spaces are $100: indoor, outdoor covered or outdoor uncovered. Boat spaces are $100 (standard), $150 (premium) or $200 (top tier). Every order adds a 4% administration fee.
- Your company name, products and brands appear on your spaces on the show map and in the exhibitor list, exactly as entered at registration.
- Spaces are first come, first served. Show administration may move an exhibitor to a comparable space for safety, access or layout reasons. No refunds for dissatisfaction with placement.
- Sharing or subletting a space needs written approval from show administration.
- On-site lodging is available only to registered vendors and dealers, not the public, and can be added to their order: double rooms (sleep 2) at $150 per night, a large room (sleeps 6–8) at $400 per night, and group rooms (sleep 6–14) at $600 per night. Rooms are limited and booked first come, first served.
- Food and beverages are sold only by the show.

| Cancelled after January 15, 2027 | None |
| Booked after January 15, 2027 | None, final at purchase |

Weather and show cancellation
- The show runs rain or shine. There are no refunds and no rescheduling for weather, low attendance or a shortened day.
- Show administration may pause or close the show early if lightning, high wind or a National Weather Service warning makes the grounds unsafe.
- If the show is cancelled for weather, a government order or other events beyond our control, payments are not refunded. Show administration may apply them as a credit toward next year's show.
- Vendors are responsible for covering and protecting their displays and products. Outdoor vendors, including those in covered spaces, should bring a tarp or cover for wind-driven rain and for protecting gear overnight.
- Vendors in uncovered spaces bring their own tents and weight each leg with at least 25 lb.
Move-in, show hours and move-out
- No boats, vehicles, trailers or large dealer items enter after 8:00 PM Wednesday, March 17, unless show administration authorizes it in advance.
- Any authorized move after the cutoff, or rearranging needed for a late arrival, may carry a $300 move-in fee at show administration's discretion.
- Exhibitors who are not set up by their cutoff forfeit all payments.
- No move-in or move-out during show hours. Booths stay staffed and open during all show hours.
- Small items may be restocked during show hours only with approval from show administration. Boats and other large items cannot be replaced during the show.
- Vendor teardown starts after the show closes Sunday at 6:00 PM, or earlier if show administration allows it with no patrons on the grounds.
- Dealers move boats out on a schedule set by show administration, after vendors have cleared out, and no later than Wednesday, March 24.
- Leave each space clean. Trash and materials left behind are billed at cost.
Liability, insurance and security
- Dealers: must carry one blanket general liability or event insurance policy covering their business, boats and products on display. A separate policy for each boat is not required. Proof of coverage must be on file before move-in.
- Vendors: are strongly encouraged to insure their products, displays and equipment.
- Each exhibitor releases Rusty Hook Ranch, the Matagorda Boat Show, and their owners, staff, employees and volunteers from all claims for loss of, theft of or damage to the exhibitor's products, boats, vehicles, displays or other property, however caused.
- Each exhibitor agrees to cover any claims, costs or damages arising from its booth, boats, vehicles, staff or products.
- The grounds are locked after hours, with security staff on site after hours and during the show. Security is a courtesy and does not guarantee against loss, theft or damage.
- The show's total liability to any exhibitor is limited to the amount that exhibitor paid.
